Bulk Actions and Review
Use multi-select mode to batch categorise, review, and manage transactions efficiently.
Process Transactions Faster
When you have a batch of new transactions to work through, multi-select mode lets you handle them in bulk instead of one at a time.
Entering Multi-Select Mode
On the transactions page, use the checkbox on each row (desktop) or long-press a transaction (mobile) to enter multi-select mode. Then tap individual transactions to select them, or use Select All to grab everything visible.
Available Bulk Actions
The bulk toolbar appears once one or more transactions are selected and offers four actions:
Mark Reviewed
After reviewing a batch of transactions, mark them all as "Reviewed" at once. This clears them from your "Needs Review" queue.
Mark or Unmark as Transfer
Select matching pairs (or groups) of transfer transactions and flag them as transfers, or remove the transfer flag from anything mistakenly marked.
Bulk Edit
Apply the same category or merchant name to every selected transaction in one step. Leave a field blank to keep the existing value, or set the category to Clear to remove the current category from all selected rows.
Bulk Delete
Remove multiple transactions at once. This is useful for cleaning up duplicate imports or test data. Deleted transactions cannot be recovered, so use this carefully.
The Review Workflow
NivoaFlow uses a two-status review system to help you stay on top of new transactions:
Needs Review
All new transactions — whether from bank sync, CSV import, or manual entry — start with a "Needs Review" status. This signals that they have not been checked yet.
Reviewed
Once you have confirmed the category, checked the amount, and made any adjustments, mark the transaction as "Reviewed." This moves it out of your review queue.
A Suggested Weekly Routine
- Filter to "Needs Review" to see all unprocessed transactions
- Scan for patterns — select similar transactions and bulk categorise them
- Handle exceptions — individually edit any transactions that need splitting, tagging, or notes
- Mark reviewed — select all processed transactions and mark them reviewed
Tips
- Combine with categorisation rules — if you notice yourself bulk-categorising the same merchant repeatedly, create a rule to automate it
- Review weekly — staying on top of new transactions prevents a backlog from building up
- Use filters — narrow down by account, date range, or category to focus your review
